From January 1, 2023, the Pension Fund of Ukraine provides insurance payments in connection with the temporary loss of working capacity and from an accident at work

In order to receive financing for sick leave, the employer, as before, must submit a statement-calculation containing information on the funds accrued to insured persons.

The form of the statement-settlement remained unchanged.

An important change for employers: it is necessary to submit settlement applications to the Pension Fund of Ukraine through the policyholder’s personal account on the web portal of electronic services.

In order to create a statement-calculation in electronic form, the insured user needs to have access to the Internet and a qualified electronic signature (#КЕП).

Employers who, for certain reasons, cannot use the electronic office on the web portal of the Pension Fund of Ukraine’s electronic services, have the opportunity to make a statement-calculation in paper form and submit it to any service center of the main offices of the Pension Fund of Ukraine in the regions and Kyiv .

WARNING!

Employers do NOT need to enter into a separate contract with the Pension Fund of Ukraine to submit statements and settlements electronically.

We offer step-by-step instructions for creating a settlement statement.

Step 1.

Go to the web portal of electronic services of the Pension Fund of Ukraine. Click the “Login” button, identify yourself as a legal entity, confirm the login using the KEP and its password and click the “Login” button.

Step 2.

In the policyholder’s personal account (in the menu on the left), go to the “Billing statements” section and select the “Create new” button. A billing statement form will appear on the screen, in which you need to add information to the specified fields. Some of them, such as “Insured’s EDRPOU code”, the system fills in automatically. If you skip a line that is mandatory, the program will mark the field in red.

Importantly!

When filling out the settlement statement, you should not use certain characters, such as quotation marks, which are often found in company names. The program will report the use of incorrect characters with the inscription “The field contains prohibited characters” and mark the line in red.

In the lines “Beginning date of the period for which to include LN (Z)” and “Date of the end of the period for which to include LN (PO)” it is necessary to indicate the period (from to to) for which sick leave should be included in the settlement application (” Ready to pay”).

Importantly!

The system itself will select sick leaves with the status “Ready for payment” in the specified calendar interval (from – to).

After filling in all the necessary lines, click the “Continue” button.

Step 3.

After the system loads the sick leaves ready for payment, two additional fields appear on the screen: “Appendix on temporary incapacity for work” and “Appendix on temporary incapacity for work due to an accident or occupational disease”, which display the sick leave data of each employee corresponding to the insurance case. Only those sick leave payments/part of payments for which the Pension Fund of Ukraine reimburses are included in the Appendices. Please note! The maximum number of sick leaves in one settlement application is 200 units.

Step 4.

In order to enter the necessary information about a specific person, you need to click on the “pencil” (icon) in the field with the person’s last name. In the additional window that opens, some lines will be filled in automatically, and some must be filled in manually. In particular, information about a person’s insurance experience (general) and experience over the past 12 months is automatically retrieved. If it is necessary to change data on insurance experience (in particular, when information on experience acquired after the reporting quarter is not taken into account), then this can be done manually. It is necessary to enter information in all fields marked with an asterisk: “*”. Similarly, process all disability sheets included in the settlement statement that you will send to the Pension Fund of Ukraine. When the required fields are filled in, click the “Save” button. After that, you can still make changes to the settlement statement.

Step 5.

If the statement-settlement is completed in full for all the selected sick leaves, for further work, select the option “Generate statement-settlement”. The document will open in a new window. It can be downloaded and printed. Sign the settlement statement and send it to the Fund.

Importantly!

Since it is not possible to edit the settlement application after sending it to the Pension Fund of Ukraine, check the generated document before sending it! The success of your actions in submitting a settlement application will be confirmed by the message “Calculation application. The record has been saved and sent to the PFU for review.” Click “Ok” to correctly complete the work with the settlement statement. After exiting the document, you can work with other portal services.
